About this role
Answer incoming calls, return missed calls, and respond to client emails and website inquiries in a timely manner.
Manage new client onboarding and send required agreements, payment information, questionnaires, checklists, and other initial information.
Assist clients with general questions regarding documents, forms, appointments, and other administrative matters.
Follow up with clients regarding outstanding documents, payments, signatures, and other requirements.
Record and monitor IRCC deadlines, ADRs, request letters, document requests, and other time-sensitive requirements.
Create, assign, update, and monitor tasks in the company's task management system.
Ensure important deadlines, requests, follow-ups, and required actions are recorded in the task system and assigned to the appropriate team member.
Follow up with team members on pending or overdue tasks.
Maintain and update application trackers and internal records.
Assist with regular administrative work such as webforms, ATIP/GCMS requests, offer letters, compliance codes, and other miscellaneous tasks as required.
Prepare routine correspondence and documents when required.
Maintain organized client files and administrative records.
Create and update email templates, checklists, formats, and other administrative tools as needed.
Assist with general office administration and other duties as required.
Maintain confidentiality and handle client information professionally
