Administrative Assistant

Your position will be Administrative AssistantThis is a permanent, full-time, non-seasonal position with no fixed end date.

Your primary work location will be 440 1st Avenue North, Saskatoon, Saskatchewan, S7K 1X6. This is an on-site position.

Your regular schedule will be Monday to Friday, from 8:00 a.m. to 5:00 p.m., with a one-hour unpaid meal break each day. This schedule provides 40 paid working hours per week. Your regularly scheduled days off will be Saturday and Sunday.

You will be paid $25.80 per hour, less all applicable statutory deductions, through the Companys regular payroll system.

Your principal duties and responsibilities will include the following:

Receive and greet customers, visitors, suppliers and other business contacts; determine the nature of each inquiry; answer routine administrative questions; and direct sales, service or technical matters to the appropriate employee.

Review incoming telephone calls, emails, regular mail and other communications; identify the action required; respond to matters within your authority; and monitor unresolved inquiries to ensure they are followed through to completion.

Schedule and confirm automotive service appointments, customer follow-ups, internal meetings and the Owners business appointments, and maintain the Owners calendar and deadline reminders.

Use Shopmonkey, or any successor business-management platform adopted by the Company, to create, update and maintain customer profiles, vehicle records, appointments, estimates, work orders, invoices, service histories, internal notes and supporting documents.

Learn and become proficient in new administrative, automotive and cloud-based software introduced by the Company, and assist in maintaining standardized electronic workflows, templates and filing procedures.

Coordinate the administrative flow of repair and maintenance files from the initial customer inquiry and appointment through estimate preparation, work authorization.
