About this role
- Greet clients and visitors professionally and direct them to the appropriate consultant or staff member.
- Answer, screen and forward telephone calls, emails and general inquiries.
- Schedule and confirm consultations, appointments and follow-up meetings.
- Collect basic client information and update contact details in the companys records.
- Receive, scan, label and organize documents submitted by clients.
- Maintain electronic and physical client files while ensuring confidentiality.
- Inform clients about appointments, outstanding documents and administrative deadlines as directed by authorized staff.
- Process consultation and service payments and issue receipts.
- Prepare routine correspondence, appointment confirmations and document-request emails.
- Receive and distribute incoming mail, courier packages and government correspondence.
- Monitor office supplies and place orders when required.
- Maintain the reception area and ensure it remains organized and professional.
- Assist with photocopying, printing, scanning, filing and other administrative duties.
- Coordinate communication between clients, immigration caseworkers and the RCIC.
- Provide general information about the companys services without offering immigration or legal advice.
