Treasury Board and Finance (TBF) is responsible for budgeting, planning and reporting, financial management and the administration of tax and revenue programs. The division Economics and Fiscal Policy (EFP) is responsible for developing, interpreting, and analyzing economic, fiscal, workforce, and statistical data to support workforce planning, cross-ministry policy development, and data-driven decision-making. EFP advises on key issues affecting Alberta’s finances, such as tax policies and legislation, economic and demographic trends, and major federal transfers. The division also provides economic, population, tax revenue, non-renewable resource revenue, and federal transfer forecasts for the budget and quarterly fiscal updates. Additionally, EFP manages federal-provincial fiscal relations — including major transfers — and offers cross-ministry support on federal, provincial, and municipal fiscal matters. The division delivers scenario analysis on the revenue and economic impacts of policy and program initiatives across government, prepares budget and quarterly update materials, and serves as the provincial focal point for Statistics Canada, providing cross-ministry statistical services.

Role Responsibilities
The Administrative Assistant plays a key role in supporting the Economics and Fiscal Policy Division by providing senior-level administrative services to divisional staff and the Assistant Deputy Minister's office. This position leads the coordination and delivery of administrative support functions, ensuring efficient operations, effective communication, and high-quality service across the division. The successful candidate will thrive in a fast-paced environment, exercise sound judgment, and build effective working relationships with a wide range of stakeholders.
Key responsibilities include
Providing support to the Executive Directors, including calendar management, expense reporting and travel arrangements.
Assisting with the preparation of meeting materials for the division.
Processing budget expenditures by reviewing expense claims and non-purchase order invoices, verify unit payables and coordinating the appropriate approvals and submission, as necessary.
Program support for publications produced by the division. This includes coordinating requests from units to communications for publishing and reviewing draft publications for spelling, grammar and formatting.
Triage, track and process Action Requests (ARs) including negotiating timelines and redirecting as required.
Supporting divisional human resources, accommodations, training and IT requirements.
Manage office supply inventory, including performing regular stock checks, ordering supplies, and ensuring timely replenishment to support operational needs.
Maintain and update division-wide records such as the Action Request tracker and divisional employee IT assets and accommodation details.
Support business continuity within the ADM Office by providing cover off to the Executive Assistant during periods of vacation, leave, and vacancy.

Qualifications
High school diploma and four years of progressively responsible administrative experience, including experience using a variety of software applications (e.g., word processing, spreadsheets, and databases).
Equivalency
: Directly related experience or education considered on the basis of: one year of experience for one year of education or one year of education for one year of experience.
The ideal candidate will demonstrate
Well-developed written and verbal communication skills, including proofreading and editing abilities.
Excellent organizational and time management skills.
Proficiency with Microsoft Office applications (Excel, PowerPoint, Word, Teams, and SharePoint), Adobe Acrobat, and other administrative software systems.
Ability to work independently with attention to detail.
Ability to work effectively within a team-based environment.
Assets
Working knowledge and understanding of Alberta Government branch and department regulations and procedures.
Knowledge of department and branch organizational structures.
Experience with ARTS, 1GX, or similar administrative, financial, records management, or workflow tracking systems.
Experience with Adobe InDesign and Adobe InCopy.

Notes
This is a permanent full-time position working 36.25 hours per week, Monday to Friday (In-office).
Candidates may be asked to participate in a written assessment.
