Administrative Assistant

Blue Whale Financial is a company and a destination that helps people with their financial planning needs. The team is looking for an administration professional who would appreciate an opportunity for growth.  This role is in our Moose Jaw location.

You enjoy providing both administrative assistance to a team and amazing service to clients. You are great at organizing and prioritizing workload, as well as ensuring client satisfaction. This is an in-office position 5 days per week. As a successful candidate for this career, you have:

3+ years of working as an Admin Assistant in an office

2+ years of financial services and/or banking experience

Openness to obtaining a mutual funds registration

Post-Secondary education

Desire to grow

Excellent verbal and written communication skills

Attention to detail in everything

Advanced knowledge of technology, tools and software  including MS Office Suite and CRM databases (we use Salesforce)

Ability to work well independently but also be a strong results-oriented team player

Ability to adapt to change

What you will do

1. Provide exceptional support to clients and advisors, solving problems and communicating with clients.
2. Process investment transactions and follow-up on outstanding requirements with clients, advisors, dealer and external vendors.
3. Pre-client meeting prep including gathering investment/insurance summaries and financial information for client meetings; create client meeting agendas; prepare and distribute supporting information for scheduled meetings.
4. Post-client meeting follow-up including reviewing meeting notes with the Advisor(s) and executing actions; make sure tasks and notes are being updated and completed in a timely manner.
5. Keep the CRM up to date with meeting notes, phone conversations etc.
6. Handle administration such as address and bank account
7. Provide reception services
8. Support team when/where needed
