Job Information
The Public Guardian Assistant (Assistant) is responsible for all administrative functions and procedures associated with the efficient operation of the Public Guardian's office. The Assistant facilitates the processing, filing and serving of public and private guardianship application documents. The position is also the initial contact for office inquiries about the guardianship program.
The Assistant prepares and administers court documents in accordance with due process and the Rules of the Court, maintaining individual case files, completing office management duties and administering office financial activities. The incumbent handles correspondence containing information of a legal, personal, restricted and protected nature within a strictly "confidential" and secure environment.
The Public Guardian Assistant will also coordinate activities related to the processing, filing and serving of guardianship applications in addition to maintaining the administration of the Office.
Key Responsibilities
Complete all administrative functions associated with the Public Guardian's Office in order to ensure that the Office is managed in an effective and efficient manner.
Responsible for various databases that support the effective and efficient functioning of the Office of the Public Guardian.
Ensures all related Court proceedings and due processes are adhered to in an accurate and timely manner in order to ensure that all court deadlines are met and that strict timeliness are followed.
Maintains the paper and electronic management systems for the Office of the Public Guardian.
Responsible for various financial tasks including purchasing supplies, processing incoming invoices, making payments using the corporate Visa, logging and monitoring all ongoing expenditures, monthly corporate Visa statement reconciliations and assisting the Manager with financial reporting as required.
Key Qualifications
Completion of a Legal Administrative Assistant or Office Administration program and one (1) year of relevant experience.
Relevant experience may include
Filing and serving court and/or legal documents, drafting associated serving documents, client services experience, office and financial administration.
Equivalencies may include
A high school diploma and three (3) years of relevant experience.

Salary Information
The salary range for this position is from $39.26 per hour to $46.89 per hour (approximately $76,557 - $91,436 annually) plus an annual Northern Allowance of $3,700.
