The Public Library Services Branch is seeking an Administrative Officer to provide comprehensive administrative, financial and operational support to branch programs and services. The position coordinates financial and office administration, provides guidance to staff, supports program and interjurisdictional activities, and contributes to effective, accountable branch operations.

Duties
Coordinate financial administration activities, including budgeting, forecasting, reporting, and financial transactions.
Analyze financial information and prepare reports to support decision-making.
Administer procurement and asset management processes in accordance with government policies and procedures.
Provide administrative support for meetings, committees, travel arrangements, agendas, and stakeholder communications.
Coordinate human resource processes, including onboarding, attendance reporting, timekeeping, and recruitment support.
Maintain electronic and physical records in compliance with information management standards.
Monitor workflows, track assignments and deadlines, and support process improvements.
Provide guidance to staff on administrative, financial, procurement, records management, and human resource procedures
Qualifications
Essential
Experience providing financial support services, including budget monitoring, financial reporting, and processing financial transactions.
Experience providing administrative support, including coordinating meetings and preparing agendas, minutes, correspondence, and briefing materials.
Experience using SAP or a similar enterprise system to support financial, procurement, payroll, or human resource administration.
Experience providing human resource administrative support, including timekeeping, onboarding, and ensuring compliance with policies and procedures.
Experience organizing, maintaining, and tracking records and information using physical and electronic filing systems, databases, or document management tools.
Strong organizational skills, including the ability to manage competing priorities and meet deadlines.
Demonstrated ability to produce accurate, thorough, and detail-oriented work in a fast-paced environment.
Effective verbal communication skills.
Effective written communication skills.
Strong interpersonal skills with the ability to build effective working relationships and collaborate with a diverse range of clients, partners, and colleagues.
Proficiency using Microsoft Office applications including Word, Excel, Outlook, and PowerPoint or similar software applications.
Ability to exercise initiative and work independently with minimal supervision.
Ability to interpret and apply policies and procedures.
Desired
Experience supporting procurement, purchasing, inventory management, or asset management functions or processes.
