Role Responsibilities
The Operations and Administration Coordinator provides comprehensive operational, administrative, and project coordination support to divisional operations. The position is responsible for coordinating strategic priorities, managing issues and action requests, conducting research and analysis, and ensuring effective communication and information flow among stakeholders.
Key responsibilities include
Coordinating operational priorities, schedules, meetings, travel arrangements, and administrative activities.
Reviewing, tracking, and monitoring action requests, correspondence, briefing materials, and operational issues.
Supporting project management, strategic planning initiatives, and operational programs.
Coordinating staffing, procurement, contract, and administrative processes while ensuring compliance with established procedures.
Preparing and reviewing briefing notes, reports, meeting materials, presentations, and executive correspondence.
Conducting research and analysis to support decision-making, issue resolution, and continuous improvement initiatives.
Building strong relationships with internal and external stakeholders to facilitate communication and operational effectiveness.
Maintaining information management systems, trackers, and records to support accountability and timely follow-up on priorities.
Identifying emerging issues, assessing risks, and recommending appropriate courses of action.
Handling sensitive and confidential information with professionalism, discretion, and sound judgment.
This position may be required to travel throughout the province.

Education and Experience required
: University graduation in a related field (Business Administration, Public Administration, Political Science, Communications); no experience required; or equivalent as described below.
Equivalency
: Directly related education or experience considered on the basis of: 1 year of education for 1 year of experience; or 1 year of experience for 1 year of education.
Additional Requirements
: · Valid Class 5 driver’s license or equivalent.

Experience interpreting and applying policies, procedures, and administrative processes.
Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
Demonstrated ability to establish and maintain effective working relationships with stakeholders.
Demonstrated ability to handle sensitive and confidential information with professionalism and discretion.
Assets

Experience supporting executive-level or senior leadership operations.
Experience working within the Government of Alberta or another public-sector organization.
Experience coordinating action requests, issue management processes, or executive correspondence.
Experience with records management and information management practices.
Experience supporting staffing, procurement, contract administration, or financial administration processes.
Knowledge of Government of Alberta administrative policies, procedures, and guidelines.
Knowledge of the Freedom of Information and Protection of Privacy (FOIP) Act.
Experience supporting strategic planning, operational planning, or project management initiatives.

Terms of Employment
:
This is a full-time permanent position.
The standard hours of work are 36.25 hours per week.
Valid Class-5 (or equivalent) Driver’s Licence is required.
